Job Title: Public Programming Coordinator 

Reports to: Executive Director

Location: Wellfleet, MA

FLSA Status: Full-time, exempt

Salary range: 52,000-65,000, plus $6,000 health care stipend 

The Mission of Wellfleet Preservation Hall (WPH) is to create and nurture community connections. We imagine, generate and support year-round opportunities for the community to learn, grow, celebrate, and enjoy the Outer Cape, provide experiences for all and support economic vitality through the promotion of arts and culture. In doing so, we serve to preserve the Hall and plan for its future. We do this by providing a venue for individuals and organizations to offer programming and by producing our own programs. 

Position Overview

The WPH’s public program coordinator is responsible for overseeing all aspects of programming at the Hall, whether internally produced or sponsored by other entities. Key responsibilities include ensuring the Hall programming supports its mission and utilization targets. This role has end-to-end accountability for programming from initial contact, contract execution, to event promotion and execution, data follow up and invoicing. The public program coordinator will be a key contributor to financial discussions to help ensure that programs are financially managed in keeping with the Hall’s mission and goals. 

The public program coordinator works with the WPH Executive Director to create, maintain and continue high quality programming that is mission driven, diverse, engaging and focused on bringing joy to the community. This person is the first point of contact for inquiries coming into the Hall, and works closely with the Private Events and Special Programming coordinator as well. Additional responsibilities include house managing and growing the volunteer program.

Primary responsibilities:

1. Public Events Programming
● Oversee production of all programming. This includes scheduling, staffing, volunteer needs, overall marketing plan and execution to ensure events are promoted within the community. 

● Manage systems for requests and applications from presenters, producers, performers and artists via phone, email & walk in in a professional and timely manner. 

● Manage relationships with outside/prospective presenters from application through production.  Determine viability, appropriateness and suitability of program ideas in regards to the Hall’s mission. Manage program agreement terms and related financial documentation. Manage presenter/performer needs and expectations. 

● Develop new program ideas in coordination with WPH staff, board and the community, and proactively seek out collaborations with area nonprofits and arts organizations.

● Coordinate calendar with special/private events and other major local venues. 

● Manage website calendar and Eventbrite ticketing system. 

● Maintain the event data system to track events and analyze financial and community impact.  

● Review and recommend updates/revisions to program agreements and contracts as needed. 

● Manage and coordinate House Management Program to ensure appropriate coverage for all public events.

2.  ASSIST WITH FUNDRAISING EVENTS:

Wellfleet Preservation Hall produces several Special Events spaced throughout the year to raise funds to maintain the venue and to carry out its mission.

● Work with the Executive Director and Event Committee on logistics of all Special Events & Fundraising. 

● Assist with marketing, communication, logistics, purchases, finances and sponsorships of all Special Events/ Fundraising. 

● Help create new fundraising opportunities. 

● Develop/cultivate relationships with other organizations for partnerships. 

● Create/continue/maintain the business sponsorship program. 

● Serves on the development committee and other pertinent committees as assigned by the executive director.

3. VISUAL ARTS PROGRAMMING:

Coordinate meetings with the visual arts committee with the primary goal of scheduling and reviewing artist applications. 

● Manage exhibition requests via online application process/in person and via email.

● Coordinate and correspond with artists about their upcoming exhibition, including the installation and removal of monthly exhibitions.  Schedule artist receptions, talks, workshops, and other visual arts programming.

● Create marketing materials for art shows.

● Track art sales and manage invoices for sold art. 

 4)  VOLUNTEER COORDINATION

● Recruit, train, maintain relationships with volunteers

● Schedule volunteers for events

● Organize volunteer appreciation events 


Key Qualities: 

  • As the key point of contact from initial inquiry to the successful execution of a program, the successful candidate must have a demonstrated ability as a friendly and highly responsive leader who can cultivate relationships. 

  • The ability to anticipate the needs of programs, delegate work and creatively problem-solve are key attributes needed in this role. 

  • A high attention to detail is important to ensure that contracts, billing, and program execution are seamless. 

  • Excellent oral and written communication skills

  • Collaborative, thoughtful, discreet working style

  • Committed to staying on Cape for the foreseeable future 

  • Familiarity with the Outer, Lower and Mid Cape essential

  • Experience working in the service industry, bartending  a plus 

  • Experience in PR, marketing/promotions,  social media management

  • Excel in project management

  • Excellent computer skills 

  • Excellent time management skills and ability to handle flexible working hours

  • Ability to pay close attention to detail 

  • Be able to work both independently and as part of a team
